The Hidden Wedding Venue Fees They Don't Tell You About (And How to Save Your Budget)

Prima Vista Team3 min read

Let’s have a heart-to-heart. You’ve found a venue that looks perfect on paper. The rental fee fits your spreadsheet, the photos are stunning, and you’re ready to sign.

But as someone who has seen thousands of wedding contracts, I have to tell you: the rental fee is almost never the final price.

Hidden wedding fees aren't usually a single dramatic surprise; they’re a quiet stack of small charges that creep in after the contract is signed. My goal is to help you see through the "base price" and understand the true cost of your Hill Country wedding planning.

Wedding rings and contract details before signing a venue agreement

1. The "Service Fee" Trap

This is the big one. Many venues and caterers add a "service fee" (usually 20-24%) on top of everything. On a $10,000 catering bill, that’s an extra $2,400 you didn't see coming.

Planner Tip: Always ask if the service fee is a gratuity for the staff or an administrative fee for the venue. If it’s administrative, you’ll still be expected to tip your servers on top of that. At Prima Vista, we believe in total transparency. There are no "gotcha" percentages added at the end.

2. The "BYOB" That Isn't Actually Free

We love a BYOB venue (it’s a huge part of a smart Texas wedding checklist to save money), but some venues charge you "corkage fees" or "ice fees" just to serve the alcohol you bought.

What to ask:

Prima Vista · Wimberley, TX

See exactly what is included at every price point.

View Pricing & Packages
  • Is there a per-bottle fee for opening wine?
  • Do you charge for ice, mixers, or garnishes?
  • Is there a mandatory "bar glass" rental fee?

3. The Cleanup "Surprise"

Some venues expect you, or your family, to haul away the trash at 11:00 PM. If you don't, they keep your security deposit. Other venues charge a "cleanup fee" that isn't mentioned until the final invoice.

The Reality: Your mom shouldn't be sweeping floors in her cocktail dress. Look for a venue like Prima Vista that handles the heavy lifting as part of the service.

4. Overtime (The 30-Minute Penalty)

If your party is going great and you stay 15 minutes late, many venues will bill you for a full hour of overtime, not just for the space, but for security, the bar staff, and the DJ.

Questions to Ask:

  • What is the exact time we must be out of the building?
  • Is there a grace period for decor pickup?
  • Are overtime fees billed per 15 minutes or per hour?

5. The "Mandatory" Vendor List

This is a hidden fee in disguise. If a venue forces you to use their "exclusive" caterer, you lose all power to price-shop. You might find yourself paying $80/plate when you could have had a local Wimberley favorite for $45.

How to Compare Venues Fairly

When doing your wedding venue comparison, don't just look at the "Rental Fee" line. Create a spreadsheet that includes:

  • Base Rental
  • Service Fees (Add 22% if not sure)
  • Required Insurance
  • Security Fees
  • Cleaning Fees
  • Rental items (Tables/Chairs/Linens)

The Prima Vista Reveal: We built our business model to eliminate this stress. When we give you a price, that’s the price. No hidden service fees, no "ice taxes," and a professional DJ is already included. We protect your budget so you can spend it on the things that actually matter.
